Hybrid Medical Conferences: Lessons Learned

We at Inclusive Digital have learned many valuable lessons in our years of experience livestreaming hybrid medical events. Medical livestreaming is similar to corporate livestreaming in many ways, but the biggest difference is in the emphasis of importance; because medical livestreaming is educational, the key factor is the accessibility of information.

In a healthcare conference, slides and audio are always the most important factors at play. Attendees are present to learn and everything else remains important but becomes secondary. This means that audience members must be able to clearly see slides and easily listen to the speaker, and everything else on top of that is bonus. Slides should always be visible during the presentation and should be cut to as early as possible. This is why our picture-in-picture graphic is so important, allowing both the speaker and slides to be seen at the same time in high definition.

Preparing speakers before their presentation is key to success. To help them prepare for presenting at a hybrid event, we make sure they are aware that their talk will be livestreamed and encourage them to engage with the online audience. We ensure they can see their notes, often through use of a comfort monitor, and talk them through the micing up process.

Once we have established a firm foundation, we can look to audience engagement. One way to engage with the online audience is through interactive tools such as Slido or an event app like Eventee. Polls, Q&As, speaker bios, and newsfeeds all help to create meaningful discussion both in-person and online and allows online attendees to feel included.

Ultimately, successful medical livestreaming is about delivering knowledge clearly, reliably, and accessibly to every attendee, wherever they are joining from.
